By submitting this form or proceeding with a travel booking, you ("client") acknowledge and agree to the following terms and conditions set forth by Carolina Travel Group, LLC ("Travel Agency," "we," "our," or "us"), an affiliate with WorldVia Travel Network.

Carolina Travel Group, LLC acts as an independent travel agency and serves solely as a booking agent for travel services provided by third-party suppliers, including but not limited to airlines, cruise lines, hotels, resorts, tour operators, transportation companies, and other travel providers ("Suppliers").

We do not own, operate, or control the travel services provided by these Suppliers. Our role is limited to assisting with the research, planning, and booking of travel arrangements on your behalf.

1. Our Role as a Travel Agency

2. Use of WorldVia CRM

Carolina Travel Group, LLC utilizes WorldVia CRM, a secure Client Relationship Management platform, to manage travel planning, client communications, itinerary approvals, travel forms, invoices, and payment authorizations.

This system helps ensure accurate record keeping, secure communication, and efficient management of your travel arrangements. Clients may receive travel documents, trip updates, invoices, and required forms through the WorldVia CRM platform.

3. Email and electronic communications

In addition to the WorldVia CRM platform, Carolina Travel Group, LLC may communicate with clients through email to provide travel forms, invoices, confirmations, itineraries, and other important travel-related information.

By engaging our services, you consent to receiving communications and documentation electronically through the WorldVia CRM platform and/or email.

Clients are responsible for monitoring their email accounts, including spam or junk folders, for important travel communications. Failure to review communications in a timely manner may result in missed deadlines, payment penalties, or travel issues for which Carolina Travel Group, LLC cannot be held responsible.

Electronic approvals, authorizations, and documents transmitted through email or the WorldVia CRM system shall be considered valid and legally binding.

4. Supplier Terms & Conditions

All travel bookings are subject to the individual terms and conditions of the Supplier providing the travel services. These policies may include cancellation terms, payment deadlines, refund eligibility, schedule changes, and other restrictions.

By approving the itinerary, submitting payment, or authorizing a booking, you acknowledge and agree to the applicable Supplier terms and conditions.

Carolina Travel Group, LLC is not responsible for the enforcement, interpretation, or modicication of Supplier policies.

5. Payment Authorization

All travel payments are processed directly with the travel Supplier through authorized merchant channels. Carolina Travel Group, LLC does not hold client funds.

Credit card information is submitted via encrypted, PCI-compliant payment methods and used solely for authorized travel transactions.

By submitting payment information, you authorize Carolina Travel Group, LLC to process payments with the applicable travel Supplier according to the agreed booking terms.

6. Cancellations, Refunds, and Changes

Travel bookings may be non-refundable or subject to change fees, depending on the travel Supplier's policies.

Refunds, when permitted, are issued directly by the Supplier in accordance with their terms and processing timelines. Carolina Travel Group, LLC does not issue refunds unless specifically stated in writing.

Changes to the reservations may result in additional costs, Supplier penalties, or fare differences.

7. Travel insurance

Carolina Travel Group, LLC strongly recommends the purchase of travel insurance to protect your travel investment from unexpected events such as trip cancellations, medical emergencies, travel delays, interruptions, or other unforeseen circumstances.

Travel insurance options may be included when quotes, proposals, or itineraries are provided unless otherwise requested.

If travel insurance is declined, the client assumes full financial responsibility for any losses associated with cancellations, interruptions, delays, or medical emergencies and may be required to sign an insurance waiver.

8. Travel Documentation Requirements

Clients are responsible for ensuring they have all required travel documentation, including valid passports, visas, identification, vaccination records, and any other required entry documentation.

Many international destinations require passports to be valid for six months beyond the return date of travel.

Failure to obtain or present the required documentation may result in denied boarding, denied entry, or additional travel expenses. Carolina Travel Group, LLC is not responsible for any losses resulting from improper or incomplete travel documentation.

9. Assumption of risk and release of liability

Travel involves inherent risks, including illness, injury, weather disruptions, supplier insolvency, mechanical failures, government actions, pandemics, acts of terrorism, and other unforeseen circumstances.

By booking travel through Carolina Travel Group, LLC, you acknowledge these risks and agree to release Carolina Travel Group, LLC, its affiliates, employees, and agents from liability for events beyond our control.

10. Client Responsibilites

Clients are responsible for:
  • Providing accurate travler information
  • Reviewing all travel documents for accuracy
  • Meeting payment deadlines
  • Maintaining communication with the agency
  • Reviewing all confirmations and itineraries

Errors or omissions in traveler information may result in additional fees, denied boarding, or denied services for which Carolina Travel Group, LLC cannot be held responsible.

11. Payment Security and Fraud Awareness

Carolina Travel Group, LLC takes reasonable precautions to protect client information and maintain secure payment procedures.

However, electronic communications such as email may be vulnerable to phishing attempts, fraud, or unauthorized interception.

Our agency will never request payment via unfamiliar methods, such as wire transfers, cryptocurrency, or unexpected payment links, without prior confirmation.

If you receive a suspicious payment request claiming to be from our agency, contact us immediately before submitting any payment information.

Carolina Travel Group, LLC is not responsible for financial losses resulting from payments made to fraudulent accounts due to phishing, email compromise, or other unauthorized third-party activity.

12. Chargebacks and Payment Disputes

Clients agree not to initiate credit card chargebacks or payment disputes for properly authorized travel transactions.

If a dispute arises regarding a travel booking, clients agree to contact Carolina Travel Group, LLC first to allow the agency and/or Supplier the opportunity to resolve the issue.

Unauthorized chargebacks may result in additional administrative fees and may be subject to collection efforts if the chargeback is determined to be invalid.

13. Governing Law

These Terms and Conditions shall be governed by the laws of the State of North Carolina.

Any disputes arising from this Agreement shall be resolved in the appropriate courts within the State of North Carolina.

Acknowledgement

By engaging the services of Carolina Travel Group, LLC, requesting travel planning assistance, approving a travel proposal, or submitting payment for travel arrangements, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
